Job Overview
We are seeking a meticulous and reliable Project Administrator to support cybersecurity projects delivered to government and regulatory sector clients. This role provides critical administrative and coordination support across secure, compliance-driven engagements, ensuring project governance, documentation accuracy, milestone tracking, and timely completion of contractual and financial deliverables. The successful candidate will be comfortable working within structured frameworks, regulatory requirements, and controlled environments.
Key Responsibilities
Coordinate and administer government and regulatory cybersecurity projects, including scheduling, documentation management, and tracking of contractual deliverables.
Maintain and monitor project milestones, risks, issues, and action items in accordance with formal project governance and reporting requirements.
Track and ensure timely customer acceptance for deliverables, including Certificates of Acceptance (COA), and coordinate submission of invoices in line with government procurement and billing processes.
Liaise with internal stakeholders (sales, project managers, engineers, compliance teams) and external parties (government agencies, vendors, and partners) in a professional manner.
Prepare, maintain, and automate project status reports, compliance trackers, and administrative workflows using Excel, scripting, or approved automation tools
Ensure all project documentation complies with regulatory, audit, and contractual requirements, including proper version control, approval workflows, and record retention.
Support audits, compliance reviews, and governance checkpoints by ensuring accurate and complete project records are available when required.
Adhere strictly to information security policies, confidentiality requirements, and government data-handling standards.
Requirements
Proficient in Microsoft Excel (advanced formulas, pivot tables, dashboards) and Microsoft PowerPoint for formal reporting and presentations
Basic coding or scripting capability (e.g., Python, VBA, or Power Automate) to support report automation and administrative efficiency
Familiarity with CRM systems (e.g., Salesforce) and project management or tracking tools used in structured delivery environments
Strong organizational, documentation, and communication skills, with the ability to engage professionally with government stakeholders
Ability to manage multiple workstreams and priorities within a highly regulated and process-driven environment
High attention to detail and ability to follow defined procedures and approval workflows
