Lead Officer, HR & Admin Shared Services
Location: SDC Office
[What the role is]
The incumbent provides end-to-end support across HR operations and administrative shared services, including internship and scholarship administration, casual employee lifecycle management, work pass processing, and travel coordination. The role ensures efficient service delivery, compliance with relevant policies and regulations, and timely support to stakeholders.
[What you will be working on]
Key Responsibilities
1. Internship & Scholarship Administration
Coordinate end-to-end internship processes, including onboarding and offboarding
Liaise with educational institutions and internal departments on internship placements
Administer and facilitates scholarship programmes (e.g. ITE), including application coordination, tracking, and renewals
Maintain accurate records, documentation, and reports for internships and scholarships
Support engagement initiatives to ensure a positive experience for interns and scholarship recipients
2. Air Travel Booking Arrangements
Manage business travel related policies and forms
Appoint & liaise with travel agencies/vendors/travel insurers for business travel reservations and changes
Liaise with travellers to ensure compliance with business travel policies and cost guidelines
Track and maintain travel records for reporting and audit purposes
3. HRE Casual Employee Lifecycle Management
Administer onboarding and offboarding processes for casual employees
Maintain accurate employee records and ensure timely system updates
Coordinate contract issuance, extensions, and cessation processes
Serve as a point of contact for queries related to casual employment matters
4. Work Pass Application
Support application, renewal, and cancellation of work passes in compliance with regulations
Liaise with relevant authorities and employees to ensure completeness of documentation
Track application status and ensure timely follow-ups
Maintain proper documentation and records for audit and compliance purposes
5. Other Duties
Man reception and cover reception duties when required
Undertake other adhoc administrative duties or special projects as assigned by the supervisor.
[What we are looking for]
Requirements
Diploma in Business Administration, Human Resources, or related field
Minimum 1–3 years of relevant administrative or HR support experience
Familiarity with HR processes and employment regulations is an advantage
Strong organisational skills with attention to detail
Ability to manage multiple tasks and meet deadlines
Good communication and interpersonal skills
Proficient in Microsoft Office applications
Open to fresh Polytechnic graduates; candidates with relevant experience will have an added advantage
This is a 2-year contract with the possibility of renewal.
