Job Summary
The Facilities Specialist is responsible for supporting the delivery of facilities management services across bank branches, offices, ATM facilities, and operational sites. This role ensures facilities operate safely, efficiently, and in compliance with regulatory and bank requirements while supporting workplace projects, sustainability initiatives, and business continuity objectives. The incumbent will work closely with Facilities Management, Portfolio Management, Project Management, WSH, BMO, business stakeholders, landlords, consultants, and service providers to deliver high-quality workplace and facility solutions.
Key Responsibilities
- Facility Operations & Maintenance
- Support the operation and maintenance of bank branches, offices, ATM facilities, and critical infrastructure.
- Coordinate preventive and corrective maintenance activities with service providers.
- Monitor facility performance, work orders, service requests, and maintenance records.
- Assist in asset lifecycle management and equipment replacement planning.
- Support operational readiness and business continuity requirements across facilities.
- Workplace & Soft Services
- Coordinate workplace services including cleaning, security, reception, pantry, mailroom, transportation, and office services.
- Conduct routine site inspections to ensure workplace standards are maintained.
- Support workplace initiatives that enhance employee experience and productivity.
- Respond to facility-related feedback and service requests from stakeholders.
- Ensure facilities maintain a professional and customer-centric banking environment.
- Vendor & Contract Management
- Coordinate and manage outsourced FM service providers and contractors.
- Monitor vendor performance against agreed SLAs and KPIs.
- Review service reports, maintenance records, and vendor invoices.
- Support sourcing activities, RFQs, contract renewals, and procurement documentation.
- Maintain vendor records and ensure compliance with bank policies and procedures.
- Compliance, Safety & Risk Management
- Support compliance with building regulations, fire safety, occupational health and safety requirements, and internal policies.
- Coordinate workplace inspections, audits, and compliance reviews.
- Track remediation actions and ensure timely closure of issues.
- Maintain facility compliance documentation and statutory records.
- Assist with emergency preparedness, business continuity, and incident response activities.
- Coordinate Workplace Safety & Health (WSH) related facilities matters, including inspections, risk assessments, corrective actions, regulatory compliance, and workplace safety improvement initiatives.
- Sustainability & Facilities Analytics
- Collect and maintain utility consumption, ESG, and sustainability data.
- Support energy efficiency and waste reduction initiatives.
- Maintain facilities databases, dashboards, and management reports.
- Analyze facility performance, service trends, and cost optimization opportunities.
- Support digital FM initiatives, including CAFM/CMMS systems, smart building technologies, and space utilization reporting.
- Facilities Related Projects, Initiatives & Workplace Transformation
- Support the planning, coordination, and execution of facility-related projects, including branch refurbishments, office upgrades, relocations, workplace enhancements, and infrastructure improvement works.
- Monitor project schedules, budgets, risks, procurement activities, and key milestones to ensure successful project delivery.
- Coordinate internal stakeholders, consultants, contractors, and vendors throughout project lifecycles.
- Assist in business case preparation, project approvals, procurement documentation, and governance requirements.
- Conduct site inspections to monitor construction quality, safety, compliance, and adherence to bank design standards.
- Track project deliverables, manage issue resolution, and support project close-out and handover activities.
- Participate in workplace transformation initiatives, branch modernization programs, and operational improvement projects.
- Prepare project status reports, dashboards, presentations, and management updates for stakeholders.
- Cross-Functional Coordination & Project Transition
- Coordinate closely with Portfolio Management, Project Management, Workplace Safety & Health (WSH), Business Management Office (BMO), business users, and other stakeholders to support project planning, governance, and operational readiness.
- Support new site due diligence, feasibility assessments, layout reviews, and site inspections to ensure operational, facilities, compliance, and workplace requirements are incorporated into project planning.
- Participate in project completion inspections, site handover, defects management, and post-occupancy reviews to ensure a seamless transition from project delivery to BAU facility operations.
- Coordinate communication and issue resolution among FM, Portfolio, Project, WSH teams, landlords, consultants, contractors, and business stakeholders throughout the project lifecycle.
- Ensure facilities operational, maintenance, compliance, and safety requirements are incorporated during project planning, execution, handover, and post-implementation stages.
Qualifications & Experience
- Bachelor's degree in Facilities Management, Engineering, Architecture, Building Services, Project Management, Business Administration, or related disciplines.
- 3 years of relevant experience in facilities management, corporate real estate, workplace services, building operations, or project coordination.
- Experience in banking, financial services, corporate office, hospitality, healthcare, or multi-site operations environments is preferred.
- Familiarity with facilities maintenance, soft services, vendor management, workplace safety, and compliance requirements.
- Exposure to office renovation, branch projects, workplace transformation, or relocation projects is an advantage.
