Job Description
The Estimating Coordinator supports DAVACO’s estimating process from project award through bid review. Working closely with Sales and Estimators, this role ensures adequate subcontractor and vendor bid coverage by sourcing qualified partners, requesting and tracking quotes, and following up on pricing. The coordinator also researches material costs, lead times, budgets, and logistics for projects across the U.S. and Canada. This position involves significant research and data entry using Excel, Smartsheet, reports, and dashboards. The ideal candidate is organized, accurate, efficient, and comfortable communicating with vendors while managing multiple projects, deadlines, and priorities.
Duties and Responsibilities
- Providing assistance on budgets by understanding plans, requirements, updating specifications, identifying, and helping with projecting costs for each project.
- Process and update all appropriate job file documents and other similar documents for assigned Estimators, in the Oracle System
- Complete, process and file documents such as purchase orders, sub-contractor agreements, lien waivers, job related correspondence, and other required information. Maintain accurate job files.
- Responsible for accurate billing packages, invoice summaries and similar documents. Providing assistance on any job-related items such as deliveries, trucks etc.
- Field phone calls in support of assigned estimators. Follow up on issues for job items needing attention.
- Requires attention to detail and the ability to respond to changing priorities and multiple interruptions.
Job Requirements
- High school or equivalent or related field or relevant trade experience.
- Ability to be self-directed.
- Ability to multitask and maintain confidentiality.
- Ability to organize and prioritize work.
- Excellent organization and multi-tasking skills
- Communicate clearly, professionally, and proactively (both written and verbal) with teammates to ensure timely completion of duties.
- Excellent organizational skills / Strong interpersonal skills essential
- Self-starter /Motivated/Pro-active mindset Must be able to take ownership of assignments.
- Strong Customer Service /client service skills
- Deadline- Oriented
- Able to work in fast paced work environment
Skills
- Good interpersonal skills
- Excellent written and verbal communications skills
- Previous administrative experience in a construction office if applicable preferred.
- Experience with the Oracle system Proficiency in Microsoft Office (Excel), Windows, Project Management Software and Microsoft Outlook preferred.
