Job Description
Summary: Correa Law is a growing bilingual law firm serving its community in English and Spanish. The Law Firm Administrator will manage billing and collections, accounts payable, vendor coordination, office infrastructure, HR tracking, client support, and operational reporting while helping maintain efficient administrative processes.
Responsibilities:
- Billing & Collections Support: Open new client files and matters in Clio; generate Accounts Receivable reports, categorize fee types, and maintain client collection notes; create fee petitions, estoppel letters, and attorney liens. Make collection calls and assist with "Administrative Holds" on clients
- Accounts Payable & Vendor Tracking: Write checks and log bill payments in QuickBooks Online (QBO); route expenditures for authorization and handle mileage/reimbursement approvals; maintain an organized vendor list and order office supplies as needed
- Office Infrastructure & IT Liaison: Act as the primary point of contact for our third-party IT provider; keep track of computer equipment, hardware, software licenses, and phone system operations
- Production & HR Tracking: Generate weekly billable and non-billable time summaries using custom sorting formulas; log employee PTO, sick days, hybrid schedules, and contact information
- Data & Client Support: Update prospective client tracking spreadsheets; provide front-desk telephone overflow coverage; witness occasional estate plan signings; submit weekly summary reports of operational tasks
Required Qualifications:
- Tech-savvy mindset with the ability to learn cloud-based management tools quickly; basic familiarity with spreadsheets and software navigation required (we will train on Clio, QBO check-writing, and Excel pivot tables)
- Exceptional precision when logging notes, generating financial summaries, and tracking your communications in our firm management system called CLIO
- A positive team player who embraces a "no task is too small" attitude and thrives in a multi-faceted role
- Professional verbal and written communication skills for client payment follow-ups and internal team coordination
- Verbal Spanish is critical as many of the clients are Spanish-speaking
Preferred Qualifications:
- A few years of administration experience is a plus, but willing to consider clients with transferable business skills
