Personal Assistant - Personal, Family &… at Community… · Atlántico

Community Sports Partners is looking for a friendly, resourceful personal assistant to support the founder with personal and family organization across an agreed weekly schedule. Availability during evenings and weekends is required as part of the role. You will keep track of everyday requests, research practical options and follow through on arrangements, working closely with the administrative assistant. The role also includes helping with routine business messages and clear handovers to the daytime team.

The founder also wants to build a stronger organic social media presence to increase awareness of the businesses. You will help turn ideas and everyday business activity into useful posts and conversations, working in coordination with the existing marketing team.

What you will do

• Coordinate with the administrative assistant on priorities, task ownership and outstanding requests; keep shared records current and provide clear updates and handovers between shifts.

• Help with personal research and shopping, including restaurant options, clothing and gifts, comparing choices against preferences, timing and agreed budgets.

• Coordinate personal errands, important dates and everyday requests, keeping track of arrangements and follow-ups.

• Provide regular Spanish tutoring and conversation practice for the founder, using practical everyday and business topics, useful vocabulary and constructive corrections.

• Review designated family or school message threads during agreed shifts, capture homework assignments, school notices and deadlines, and coordinate reminders and follow-ups with the parent and administrative assistant.

• Maintain a shared calendar of school events, activities, appointments and birthdays, flagging conflicts and upcoming preparation needs.

• Research suitable extracurricular activities, camps, tutors and family outings; compare schedules, costs and options for the parent to choose from.

• Coordinate activity registrations, permission-form deadlines, RSVPs and appointment arrangements, obtaining parent decisions or signatures where needed.

• Keep track of school supplies, books, uniforms, clothing sizes and activity equipment, preparing shopping lists and coordinating approved orders.

• Help plan children's birthdays, gifts and other events, tracking invitations, bookings and delivery dates.

• Prepare a concise weekly lookahead of children's upcoming commitments, items needed and decisions for the parent, with clear handovers to the administrative assistant.

• Organize online grocery orders through Instacart or similar services, following shopping lists and preferences, coordinating substitutions and delivery times, and staying within agreed budgets.

• Build familiarity with key business contacts, organizations and industry peers; maintain useful contact notes and prepare concise background research.

• Support the founder’s organic presence on Instagram, Facebook and LinkedIn by gathering content ideas, helping prepare and schedule agreed posts, and engaging with relevant comments and conversations in coordination with the marketing team.

• Monitor and respond to incoming business messages on Instagram, Facebook, LinkedIn and SMS during agreed shifts.

• Answer routine questions using current business information and approved guidance.

• Help customers find the right information and take the next step with an enquiry or booking.

• Follow up on open conversations and arrange a call or appointment when appropriate.

• Identify urgent issues, use the agreed escalation process and route questions requiring a decision to the right team member.

• Keep concise notes and provide clear handovers so the daytime team can pick up outstanding conversations.

• Flag recurring questions or customer feedback that could help the team improve its information and service.

What we are looking for

• Clear, friendly written and spoken English and Spanish, with the ability to explain Spanish patiently and help the founder practise. Teaching or tutoring experience is welcome.

• Experience in personal assistance, customer service, social media inbox support, research or a similar coordination role.

• Comfort using Instagram, Facebook, LinkedIn, SMS and shared customer records.

• Good judgment, patience, attention to detail and reliable follow-through.

• Discretion with personal information and the ability to turn an open-ended request into practical options.

• Confidence managing several conversations while knowing when to ask for help.

• Dependable evening and weekend availability.
