The Medical Referral Clerk Support shall provide clerical/administrative support in the Referral Management Center for customer service, referral tracking, referral appointing, and reporting activities. This position will support the daily functions of specialty care referral appointing, referral review and coordination, beneficiary counseling, and referral tracking at MTF.
Responsibilities
- Greet patients/visitors at a front desk, referral center, or office setting.
- Answer main office phone line(s).
- Direct telephone calls to appropriate section for assistant, handles independently or takes messages as required.
- Review referrals for administrative completeness and research-covered benefits prior to processing.
- Determine patient eligibility for services and arrange and schedule medical appointments for referred care.
- Provide general instructions to patients and ensure patients have necessary documentation for referred health care services.
- Obtain updates and file medical records as needed.
- Organize and research patient records, extract needed information, and review records for referral results within established guidelines.
- Request medical records and ensure arrival of medical records prior to appointment(s).
- Initiate and locate patient medical records as needed.
- Obtain documentation as requested by healthcare providers (test results, or documentation not yet filed in records).
- Ensure referral results are returned to the referring provider and to the medical records within required timelines. Assists with follow-up, written or verbal, as necessary.
- Utilize the referral tracking data collection tool. Calculates metrics, and compiles monthly reports, as directed by the MTF.
- Orient and train MTF personnel about the referral process and timelines.
- Other duties as assigned
Qualifications
- High school diploma or General Educational Development (GED) equivalency.
- Minimum six (6) months experience in medical office setting.
- Qualified typist (computer keyboard) with a minimum of 50 WPM
- Successfully pass background and drug screening
Preferred Qualifications
- Completion of an Administrative Assistant program.
Knowledge, Skills and Abilities
- Ability to read, write, speak, and understand English and communicate effectively.
- Knowledge of medical ethics, telephone etiquette, and excellent communication and customer service skills.
- Possess general office administrative and clerical skills to perform receptionist duties and answer telephones.
- Experience with the following systems is preferred:
- Armed Forces Health Longitudinal Technology Application (AHLTA)
- Composite Health Care systems (CHCS) and/or MHS GENESIS
- Other MTF ICD-B programs must be utilized for referral management services.
- Access will be granted by local MTF connectivity, and the contractor shall comply with MHS communications and Government IT security standards and policies.
- The MTF will provide system accounts for contracted personnel after required training and security procedures have been completed by the contractor. If the Military Health Service processes move away from specified systems, the government will modify the Task Order accordingly.

- Sufficient fine motor skill for use of computers, calculator with an ability to withstand repetitive keyboarding for extended periods of time
- Visual, auditory and communication abilities sufficient to perform the essential functions of the job
- Ability to kneel bend and twist at the waist on an occasional basis,
- Ability to push, pull, carry and lift objects weighing up to 20 pounds on a regular basis and more on an occasional basis
- Ability to travel by plane and safely operate a motor vehicle.
