Job Duties
- Coordinate project workflows for client reorders, subscriptions, and new initiatives
- Manage internal communication between design, production, and vendor teams
- Schedule and lead internal project briefings
- Maintain accurate client and project records in Salesforce
- Organize and manage project documentation in Dropbox
- Track project timelines and ensure deliverables are completed on schedule
- Liaise with vendors for sourcing, warranty claims, shipping, and technical services
- Prepare Scope of Work (SOW) documents and support contract administration
- Coordinate subscription renewals and monitor billing schedules
- Prepare client presentations, meeting summaries, and follow-up actions
- Conduct post-installation follow-ups and support client inquiries
- Act as a primary point of contact between clients and internal teams
- Support continuous improvement of internal processes and workflows
Work-Related Travel
No regular travel required. Occasional travel may be required based on business needs.
Skills Requirements
Education:
- College diploma or bachelor’s degree in business administration, project management, or a related field
Experience:
- Minimum 3 years of experience in project coordination, customer service, or administrative operations
- Experience with CRM systems (Salesforce preferred)
Skills:
- Strong organizational and time management skills
- High attention to detail and process discipline
- Strong written and verbal communication skills
- Ability to manage multiple priorities in a deadline-driven environment
