Job Title: Executive Assistant
Location: Ikoyi, Lagos
Work Mode: Full Time
Work Hours: 8 am-6 pm; Monday-Friday
Job Summary:
We are seeking an Executive Assistant who will serve as a highly organized, proactive, and detail-oriented professional to provide strategic and administrative support to the CEO within a fast-paced construction environment.
The role serves as a strategic partner to the CEO, managing complex schedules, coordinating high-level projects, facilitating communication across internal and external stakeholders, and ensuring the smooth execution of day-to-day operations. The ideal candidate will possess a Bachelor's degree in Law (LL.B.), bringing strong analytical, legal drafting, documentation, and critical thinking skills to support executive decision-making, contract administration, and corporate correspondence.
Key Responsibilities
- Manage the CEO’s calendar, including meetings, site visits, appointments, and other commitments, ensuring effective scheduling, prioritization, and time management.
- Coordinate internal and external meetings by preparing agendas, recording minutes, tracking action points, and following up to ensure timely completion.
- Serve as a key liaison between the CEO and internal teams, contractors, consultants, legal advisers, regulators, clients, and other external stakeholders.
- Prepare, review, and manage correspondence, reports, presentations, contracts, and official documents, ensuring accuracy, professionalism, and proper documentation.
- Support the CEO in reviewing contracts, legal correspondence, and corporate documents by coordinating with internal and external legal advisers where required.
- Coordinate project activities by monitoring timelines, tracking deliverables, and facilitating effective communication between office and site teams.
- Coordinate travel arrangements, accommodation, transportation, and other logistics for site visits, inspections, meetings, and business trips.
- Maintain organized and up-to-date filing systems for contracts, legal documents, project records, approvals, and executive documentation, ensuring confidentiality and easy retrieval.
- Monitor incoming emails, calls, requests, and correspondence, prioritizing urgent matters and ensuring timely responses, follow-ups, or escalation where necessary.
- Prepare reports, dashboards, and management updates covering project progress, financial summaries, operational activities, and other key business information.
- Handle sensitive and confidential information with discretion while proactively anticipating the CEO’s needs and supporting the smooth and efficient flow of daily operations.
- Other responsibilities as assigned by the CEO.
Qualifications and Professional Experience
- Bachelor’s degree in Law, Business Administration, Management, or a related field.
- Call to the Nigerian Bar (B.L.) is an added advantage .
- Minimum of 3–5 years experience in an Executive Assistant or senior administrative role.
- Experience working in a construction, engineering, or project-based environment is an added advantage.
- Proven experience supporting senior executives or management teams.
- Strong understanding of office management and administrative best practices.

- Ability to interpret basic project documents, reports, and schedules
- Experience with document management and filing systems
- Knowledge of calendar and email management tools
- Familiarity with procurement and contract documentation processes
- Strong reporting and documentation skills .
General Conditions
- Remuneration: N 650,000 - N800,000
Pay: ₦650,000.00 - ₦800,000.00 per month
