Job Description
Role: Fixed Asset Management Executive
The Fixed Asset Management Executive will be responsible for maintaining accurate records of the companys fixed assets, ensuring proper asset tagging and tracking, coordinating physical verification, monitoring asset movements, and maintaining complete documentation throughout the asset lifecycle.
Preferred Candidate Profile
The ideal candidate should be detail-oriented, organised, proactive, and comfortable with physical verification as well as system-based asset management. The candidate should have a strong control mindset and be capable of independently following up on asset discrepancies until closure.
Responsibilities
- Regularly review the Fixed Asset Register (FAR) with accurate asset details.
- Record asset additions, transfers, disposals, write-offs, and retirements.
- Ensure proper asset tagging and identification of all fixed assets.
- Coordinate and conduct periodic physical verification of fixed assets across offices, sites, and other locations.
- Reconcile physical assets with the Fixed Asset Register and identify discrepancies.
- Track asset movements between departments, employees, offices, and project locations. • Maintain proper documentation for asset purchases, transfers, disposals, and write-offs.
- Coordinate with Purchase, Finance, IT, Administration, and Operations teams for asset-related activities.
- Verify supporting documents such as purchase orders, invoices, delivery challans, asset handover forms, and disposal approvals.
- Monitor assets that are damaged, obsolete, non-working, missing, or under repair and maintain appropriate records.
• Ensure timely updating of asset records in the ERP/asset management system.
- Assist in capitalisation of assets and ensure that assets are classified under the appropriate category.
- Support Finance in depreciation-related data and reconciliation of asset balances.
- Prepare periodic reports on asset additions, transfers, disposals, missing assets, and verification status.
- Follow up with respective departments for unresolved asset discrepancies.
- Support internal and statutory audits by providing required asset records, schedules, and supporting documents.
- Ensure compliance with the company's fixed asset policy and internal controls.
- Identify gaps in the asset management process and recommend improvements.
- Carrying out the regular branch visits.
Qualifications and Experience
- Qualification: B.Com / M.Com / CA Inter / equivalent finance or accounting qualification.
- Experience: 25 years of relevant experience in fixed asset management, accounting, audit, finance, or asset control.
- Experience in handling large-volume asset registers and physical verification will be an advantage.
Key Skills
- Good knowledge of fixed asset accounting and asset management processes.
- Strong Excel skills, including VLOOKUP/XLOOKUP, Pivot Tables, filters, and reconciliation.
- Experience with ERP/asset management software is preferred.
- Good analytical and reconciliation skills.
- Strong documentation and record-keeping skills.
- Attention to detail and ability to identify discrepancies.
- Good communication and coordination skills.
- Ability to work with multiple departments and locations.
