Job Description
Paralegal
Location: Quezon City
A) Administrative & Executive Support
Own complex calendar management: hearings, interviews, consultations, and policy review meetings; proactively resolve conflicts.
Coordinate logistics for hearings and meetings (rooms/links, attendees, notices, decks, minutes, follow-ups).
Manage incoming requests and triage emails; maintain a shared task list and SLA tracker.
Prepare, format, and version documents; maintain signature workflows (e-sign / wet signatures).
Support expense tracking, basic procurement (e.g., transcription, courier), and vendor coordination.
B) Drafting & Correspondence (Letters, Memos, Forms)
Draft routine to moderately complex ER letters and communications.
Policy and advisory memos to Management; acknowledgment and follow-up emails.
Maintain and improve letter templates, style guides, merge fields, and boilerplates; ensure alignment with company policy and due-process requirements.
Track versions and approvals; ensure plain-language and culturally appropriate tone.
C) ER Case Support & Paralegal Work
Run ER case intake: open case files, assign identifiers, check completeness, and log SLAs.
Build evidence packets (attachments, chat/email extracts, affidavits, attendance logs).
Prepare hearing folders/agendas; support during hearings; draft/clean up minutes within agreed TAT.
Maintain compliance logs (case tracker, sanctions register, corrective actions, closure checklist).
Coordinate with C&B, Security, IT, and Managers for documentation and asset/account actions.
D) Document Management & Filing
Implement a clean folder taxonomy and naming convention; file emails and exhibits systematically.
Manage retention schedules and access controls; enforce least-privilege permissions.
Handle e-filing to agencies/internal systems when required; maintain proof of service/receipt.
E) Reporting, Metrics & Knowledge
Weekly dashboards: case volumes, letter TATs, open actions, hearings calendar, closure rate.
Maintain a “playbook” for workflows, checklists, and templates; update when policies change.
Support audits and readiness checks (e.g., due-process documentation, Data Privacy).
