Process Systems is a leader in building autoclaves and ovens used by top aerospace manufacturers around the world. Founded in 1988 and based in Santa Clarita, ASC is known for its advanced equipment, long-standing industry reputation, and CPC, its industry-leading control system. At ASC, we believe great work starts with a strong team. We value safety, a positive attitude, leadership, teamwork, eagerness to learn, efficiency, and taking pride in delivering quality work.
ABOUT THE ROLE
Are you someone who thrives on organization, enjoys solving puzzles, and loves keeping things running smoothly? As our Planning Clerk, you'll be the backbone of our Manufacturing Planning team, helping ensure projects stay on track from the office to the shop floor.
In this role, you'll maintain critical planning data, review daily labor tracking, prepare reports, coordinate follow-ups, and work closely with planners, supervisors, and production teams to keep operations moving efficiently. Every day brings something new as you help identify discrepancies, improve processes, and support the planning of custom equipment built for customers around the world.
If you're detail-oriented, proactive, comfortable working with Excel and data, and enjoy collaborating in a fast-paced manufacturing environment where your work truly makes an impact, we'd love to meet you.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Perform the daily labor-tracking review. Compare employee labor entries with assigned work-order steps and shop activity; identify missing, incorrect, or misallocated labor; document findings; and coordinate follow-up.
- Maintain accurate planning data. Enter, update, and verify employee assignments, project and work-step information, locations, dates, statuses, notes, and supporting records in Appward, Excel, and other company systems.
- Prepare reports and meeting materials. Generate recurring labor and production reports, prepare agendas and supporting information, record actions, distribute information, and follow up on open items.
- Support production readiness. Assist planners in collecting and organizing information related to drawings, materials, manpower, production location, employee absences, and other readiness items.
- Verify and update shop-floor information. Conduct routine shop-floor checks to confirm employee work locations and actual production activity, compare observations with planning records, and update Pinpoint in Appward so the shop map accurately reflects current project and work locations.
- Communicate discrepancies promptly. Coordinate corrections with employees, leads, supervisors, and planners; escalate unresolved or repeated issues without making unauthorized planning or payroll decisions.
- Improve clerical workflows. Identify practical opportunities to reduce manual work, improve data accuracy, and standardize recurring tasks.
- Provide department support. Assist the Manufacturing Engineering Manager and planning team with administrative and operational duties as assigned.
REQUIREMENTS
- High school diploma or equivalent.
- One year of experience in an administrative, coordinator, production-support, scheduling, data-entry, or similar role is preferred.
- Proficiency with Microsoft Outlook, Word, and Excel, including sorting, filtering, basic formulas, and maintaining structured data.
- Strong attention to detail, organization, follow-through, multitasking, and time-management skills, including the ability to investigate discrepancies while meeting deadlines.
- Clear and professional communication skills and the ability to work independently, follow established processes, protect confidential information, and escalate issues appropriately.
- Comfort working in an office within a heavy manufacturing environment and regularly interacting with production employees and managers.
