Job Description
Summary: The American Institute of Ultrasound in Medicine (AIUM) is a not-for-profit multidisciplinary medical association focused on enhancing the use of medical ultrasound. The Project Coordinator will support the Chief Growth Officer in executing business development plans, fostering partnerships, and streamlining administrative and operational processes to generate revenue for the organization.
Responsibilities:
- Assist in executing strategic growth initiatives aligned with the AIUM’s strategic and departmental plans; support relationship-building with manufacturers, educational and healthcare institutions, corporations, foundations, government agencies, nonprofits, and other organizations to expand revenue, partnership, and grant opportunities; conduct research to assess partner alignment and inform partnership agreements and outcomes
- Streamline, support, and coordinate invoicing, payment processing, proposal and agreement organization, reporting, project management, lead tracking, data hygiene, and administrative tasks across all Growth Team functions—including sponsorships, exhibits, advertising, partner projects, grants, memberships, webinars, and the Medical Ultrasound Safety Guide program—while maintaining accurate records of customer interactions and sales activities
- Conduct sales/lead prospecting; support the Partnerships, Manager in nurturing relationships and assisting in closing sales for sponsorships, exhibits, advertising, memberships, partner projects, and other revenue streams; support partner onboarding, renewals, fulfillment, membership growth efforts, and project operations across marketing, membership, partnerships, and publishing
- Assist with marketing campaigns, contact list preparation, content distribution, event and webinar coordination, and member/partner communications to drive engagement and growth; contribute to AIUM-wide efforts by performing additional responsibilities as assigned
Required Qualifications:
- Associate's degree required or equivalent work experience
- Excellent organizational skills with the ability to manage multiple projects, deadlines, and administrative processes
- Experience with invoicing, payment processing, record-keeping, and financial or CRM systems
- Strong written and verbal communication skills, with the ability to communicate professionally with partners, members, and stakeholders
- Preparation of compelling proposals, presentations, materials and agreements for new business opportunities to potential funders, AIUM leadership, volunteers and partners
- Understanding of basic sales workflows, lead tracking, and customer relationship management
- High attention to detail, accuracy in data entry and tracking, and reliable follow-through
- Adaptability and willingness to learn new tools and develop/streamline processes as needed
- Ability to work independently, collaborate across departments, and provide consistent support in a fast-paced, growth-oriented environment
Preferred Qualifications:
- Bachelor's degree in Business, Communications, Marketing, or a related field preferred
- Experience working in a membership association, nonprofit, or organization with partnership, sponsorship, or revenue-generating projects preferred
- Prior experience supporting sales, prospecting, lead generation, or partner/member relations is highly desirable
