The Challenge
Alpega's marketing team runs a full calendar of campaigns, content, events, and regional activity in parallel, spanning multiple business lines and markets. As marketing moves into a new functional structure, this role becomes the connective layer that turns strategy into disciplined, on-time delivery: taking work from intake through planning, execution, and launch, with clear ownership and visibility at every step. It's an opportunity to build, not just maintain, the operating rhythm, tooling structure, and reporting the team runs on, and to be the person every function trusts to know exactly where things stand. You'll also own the financial discipline behind the plan, keeping campaign and program budgets on track in real time.
ABOUT THE ROLE
- Campaign & project execution: Break marketing initiatives (campaigns, events, webinars, content) into clear subtasks, assign owners, and drive every plan through to on-time delivery.
- Intake & prioritisation: Own marketing work intake and triage across functions, ensuring every request meets a minimum brief standard (objective, audience, channel, owner, due date, definition of done).
- Asana & calendar governance: Own portfolio/project structure, templates, custom fields, naming conventions, and reporting views; maintain a single, current marketing calendar tagged to funnel stage, segment, and goal, with clean sequencing across regions and business lines.
- Capacity & workload visibility: Track workload and capacity across active projects; flag overallocation and single-owner risk before it becomes a bottleneck.
- Budget management & tracking: Track campaign and program budgets against actuals, manage PO/invoice tracking and vendor spend, and flag variances early.
- Agency & vendor coordination: Manage briefs, handoffs, timelines, and quality control with external agencies and freelancers.
- Launch readiness: Own campaign and launch checklists — briefs complete, assets approved, tracking in place, audiences confirmed, brand/compliance QA done.
- Reporting rhythm: Run weekly planning and status cycles; publish clear execution reporting — what shipped, what's at risk, what needs a decision.
- Continuous improvement: Run retrospectives and build playbooks that simplify workflows and reduce rework.
What Success Looks Like
- Every active campaign or project has a clear owner, timeline, and status that's trustworthy at a glance.
- The marketing calendar is a reliable single source of truth, tagged to funnel stage and segment, not just a content list.
- Budgets are tracked in real time, with no year-end surprises.
- Leadership and department heads get clear, weekly visibility into what's shipping, what's at risk, and what needs a decision.
Key Success Metrics
- On-time delivery rate across campaigns/projects
- % of calendar tasks with an assigned owner and due date
- % of campaigns tagged to funnel stage, segment, and goal
- Budget variance (actual vs. planned) by campaign/channel
- Cycle time / throughput on marketing requests
WHAT WE LOOK FOR IN YOU
Need-to-haves
- 4+ years in marketing operations, program/project management, or a similar delivery role, in a B2B environment
- Hands-on expertise running Asana (or a comparable PM tool) at a governance level — structure, templates, reporting
- Proven track record managing multiple concurrent projects/campaigns across teams and stakeholders
- Experience tracking budgets and vendor/agency spend
- Strong organizational and communication skills; able to drive accountability without formal authority
Nice-to-haves
- B2B SaaS marketing experience
- Experience building campaign-to-pipeline tagging or reporting structures
- Experience managing agency relationships
- Working familiarity with demand-gen/funnel concepts (MQL, SQL, pipeline stages) — enough to structure tagging, not to own reporting
