Job Description
LEGAL ASSSITANT - EDITOR - FAMILY BASE
Location: Colombia - Remote
To succeed, you must have a great attitude and patience to help Spanish-speaking clients with their immigration documents. In this role, you will assist our law office by ensuring forms are completed and documents are collected. As a team member, you must meet deadlines and focus on providing an excellent client experience.
Some of the major duties include:
• Prepare and edit immigration packets
• Send Packets to print
• Collect documentation from the client
• Manage client profiles on our platform
• Contact clients by phone to explain forms and requirements
• Schedule consultations
• Follow up with clients by phone, email, or video conference
• Review daily emails, calendar events, and assigned tasks
• Edit a minimum of 4-6 Preliminary Packets per day, following priorities and deadlines
• Organize USCIS forms and evidence into a single PDF and verify completion using the Checklists
• Upload finalized packets to the firm’s platforms, following labeling standards
• Provide case updates to clients and document communication clearly
• Update Matter/Plan and move cases to the next stage
• Participate in team chats, meetings and report daily edited cases
Required Qualifications
• Advanced attention to detail: Ability to spot inconsistencies in legal USCIS forms, evidence, and packet formatting.
• Strong written communication: Clear, professional writing in both Spanish and English for client updates and internal documentation.
• Time management: Efficiently edits multiple cases per day while meeting strict deadlines.
• Organizational skills: Maintains structured trackers, labeling standards, and document flow across platforms.
• Client communication: Explains legal requirements with empathy and clarity, especially to Spanish-speaking clients.
• Technical proficiency: Comfortable using platforms or tools like Adobe, Google Suite, Microsoft Office, and collaborative chat tools.
• Process adherence: Follows editing checklists, SOPs, and workflow protocols with consistency.
• Team collaboration: Actively engages in group chats, shares updates, and supports team coordination.
• Adaptability: Handles varying case types and shifting priorities with flexibility and professionalism.
• Confidentiality and discretion: Maintains strict confidentiality when handling sensitive immigration documents.
Technical Requirements
• Computer: Intel i5 (8th Gen+) or AMD Ryzen 5 (3000+), or Mac M1+. Min. 8 GB RAM, 256 GB SSD.
• OS: Windows 11 or macOS.
• Monitors: Two screens required.
• Headset: USB wired or wireless.
• Internet: Wired connection, at least 20 Mbps.
Key Performance Indicators
• Packet Accuracy Rate
Ensure USCIS forms and documents are submitted without errors (target: 98%+ accuracy).
• Daily Packet Output
Edit and prepare 4–6 preliminary packets per day, as per team expectations.
• Client Response Time
Respond to client inquiries (calls, emails, messages) within 24 business hours.
• Checklist Compliance
Follow all checklist items and SOPs for each case with 100% consistency.
• Document Collection Completion
Ensure required client documents are received within 3 business days of initial request.
• Timely Uploads
Finalize and upload completed packets within 1 business day of packet completion.
• Calendar & Task Management
Maintain 100% completion of assigned tasks and scheduled events in the system.
• Client Communication Quality
Provide clear and professional updates to clients (Spanish & English), monitored through random quality checks.
• Case Stage Progression
Accurately update Matter/Plan and advance cases through stages on time.
• Team Participation
Daily participation in chats, meetings, and reporting edited case count.
