Data Coordinator / Operations Analyst… at ALEXIA ADMOR · New York

Summary: Alexia Admor is a contemporary women’s fashion brand operating across major retail partners. They are seeking a detail-driven Data Coordinator / Operations Analyst to manage systems, data, and operations, working closely with senior leadership to ensure the efficient running of the business.

Responsibilities:
- Learn and become a power user of Winfashion ERP through direct mentorship
- Pull, organize, validate, and maintain product data including:
- Pricing, costs, and margins
- Product descriptions and attributes
- Color, size, fabric, and fit details
- Create and maintain:
- Retail attribute sheets
- Offer sheets supporting sales and buying initiatives
- Partner-specific data files required for onboarding and execution
- Prepare customized product and offer sheets for key retail partners
- Manage attribute requirements for partners such as:
- Macy’s
- Nordstrom
- Kohl’s
- Belk
- Rent the Runway
- Rue GILT
- Monitor partner sites to ensure:
- Live styles remain active
- Product content remains accurate and complete
- Flag discrepancies, deactivations, or execution issues and coordinate resolutions
- Communicate daily with our 3PL to ensure shipment deadlines are met
- Coordinate with and oversee our overseas ERP / drop ship team
- Act as a quality-control checkpoint to ensure execution is clean, timely, and scalable
- Manage product setup and lifecycle in Shopify:
- Loading new styles
- Deactivating or archiving older styles
- Supporting site structure and readiness
- Work cross-functionally with merchandising, marketing, and operations teams
- Support post-production workflows:
- Organizing and distributing photo assets to retail partners
- Assist with monthly delivery cadence and ongoing site freshness
- Participate in forward-looking initiatives including:
- AI-assisted workflows
- Process automation and optimization
- Data hygiene and system scaling

Required Qualifications:
- Smart, detail-driven Data Coordinator / Operations Analyst
- Ability to learn and become a power user of Winfashion ERP through direct mentorship
- Ability to pull, organize, validate, and maintain product data including pricing, costs, and margins
- Ability to create and maintain retail attribute sheets and offer sheets supporting sales and buying initiatives
- Ability to prepare customized product and offer sheets for key retail partners
- Ability to manage attribute requirements for partners such as Macy's, Nordstrom, Kohl's, Belk, Rent the Runway, Rue GILT
- Ability to monitor partner sites to ensure live styles remain active and product content remains accurate and complete
- Ability to flag discrepancies, deactivations, or execution issues and coordinate resolutions
- Ability to communicate daily with our 3PL to ensure shipment deadlines are met
- Ability to coordinate with and oversee our overseas ERP / drop ship team
- Ability to act as a quality-control checkpoint to ensure execution is clean, timely, and scalable

Preferred Qualifications:
- Prior experience with Winfashion or fashion ERPs
- Experience supporting major retail partners or drop ship programs
- Shopify backend experience
- Strong Excel / Google Sheets skills
- Long-term interest in operations, analytics, or systems leadership
