Job Description
Summary: YMCA of Greater Houston is a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. The Human Resources Assistant provides administrative and clerical support to the HR and Administration department, performing routine HR tasks including data entry, onboarding support, and responding to employee inquiries.
Responsibilities:
- Enters new hire information into the HRIS system and ensures required documents are collected and stored
- Performs customer service functions by responding to routine employee questions and routing non-routine inquiries to HR leadership
- Reviews I-9 documentation for completeness and accuracy; escalates discrepancies to HR Generalist
- Conducts initial background check reviews for completeness and forwards any flagged or questionable results to HR leadership for determination
- Provide general support to the HRIS system
- Processes routine HR transactions such as address changes, status changes, and updates to employee records
- Provides clerical support for HR projects, audits, and compliance initiatives
- Assists with community outreach coordination as assigned
- Assist with processing employment verifications using established procedures
- Maintain discretion in matters of confidentiality
- Accurately records all hours worked and complies with timekeeping procedures
- Performs other related duties as assigned
- Follows all YMCA policies and safety and emergency procedures and processes
- Reports suspicious and inappropriate behaviors and policy violations
- Follows mandated abuse and incident reporting requirements
- Meets timelines and deadlines related to supporting systems and employee compliance
Required Qualifications:
- High school diploma or equivalent required
- Minimum age of 21 years
- One to two years of administrative, customer service, or HR support experience in an office environment
- Basic understanding of HR processes, onboarding, or employee documentation (training provided)
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning new systems
- Strong attention to detail and organizational skills
- Excellent verbal and written communication
- Strong customer service orientation
- Ability to follow established procedures and seek guidance when issues arise
- Ability to maintain confidentiality
- Ability to manage time effectively and meet deadlines
- CPR, First Aid, AED certifications and Child Abuse Prevention training
- Ability to function well in a fast paced environment
Preferred Qualifications:
- Associate degree or HR coursework preferred but not required
- UKG Ready Experience Preferred
