Job Description
Summary: Utah Valley University is seeking a Part-Time Administrative Assistant to support its fundraising and donor engagement efforts within the Development team. This role involves organizing projects, coordinating communications and meetings, and ensuring smooth operations of the development office, contributing to student success and the university's future.
Responsibilities:
- Performs and/or oversees a variety of associated administrative duties within the department
- Duties include overall fiscal tracking, including completing and tracking expense reports, mileage tracking, requisition submission, purchase orders, purchase card audits, budget projections, and travel audit preparation
- Offers general staff support and planning activities, some of which require advanced or specialized knowledge and skills, such as monitoring, calendaring, facilities scheduling, inventory control, specialized record keeping, and/or specified information-gathering projects and tasks
- Coordinates and facilitates meetings, program functions, and/or special events, as appropriate
- Assists department employees with travel using Concur, including preparing travel audits
- Trains and oversees lower-graded staff and/or students
- Perform other job-related duties as assigned
Required Qualifications:
- Graduation from an accredited institution with a bachelor's degree related to the Summary of Duties; OR any combination of education and/or related experience totaling four years
- Knowledge of administrative support general duties, including monitoring and tracking of financial data
- Knowledge and use of Microsoft Outlook, Banner, and Concur
- Skills in the use of computers and computer software applications, including calendaring, word processing, spreadsheets, and e-mail
- Demonstrate the highest quality office etiquette and customer service for incoming and outgoing telephone calls, including skills, methods, techniques, practices, and procedures
- Skills in problem-solving, decision-making, networking, and excellent interpersonal communication
- Skills in prioritizing, organization, and coordination
- Ability to perform a variety of administrative support duties with minimum supervision
- Ability to multitask and prioritize to meet the needs of a busy front office
- Ability to coordinate and assist in the preparation and monitoring of departmental financial transactions
- Ability to follow verbal and written procedures and instructions
- Ability to compose and edit written materials in a professional manner
- Ability to communicate effectively, verbally and in writing
