Job Description
Summary: The Massachusetts Executive Office of Labor and Workforce Development (EOLWD) is seeking a Program Coordinator for the Office of Senate Education and Civic Engagement. The role involves assisting with the planning and facilitation of programs to promote civic education and engagement in collaboration with various stakeholders.
Responsibilities:
- Support the Director in the preparation and presentation of the Senate’s Citizens' Legislative Seminar
- Facilitate any requisite registration and follow-up processes with participants for the seminar
- Participate in the preparation and dissemination of seminar materials
- Provide support during the seminar, including conveying program materials to a diverse group of participants
- Support the 9-week summer educational seminar for legislative interns and fellows in conjunction with the House of Representatives
- Preparation of invitations and other materials
- Schedule presenters, coordinate “intern hosts”, provide briefing materials as needed to presenters and interns
- Moderate seminar sessions as directed
- Support intern orientation sessions for students for the Senate Intern Program during the summer, fall, winter and spring terms
- Assist the Director with the collection of Senate intern trainings, applicable Senate forms, ethics forms, and dissemination of the intern handbook
- Assist with the design and implementation of the Student Government Day program
- Collect and disseminate materials to Senate offices for use in their districts
- Answer office phones and email, check the mail, receive visitors, greet visitors to the State House, and facilitate routine inter-office communications
- Coordinating other civic education projects
- Moderating sessions
- Performing other duties as assigned
Required Qualifications:
- One to two years of college or technical school and at least 1 year of relevant experience, or any of the following combinations of education and experience: a. Bachelor's degree; or b. At least 3 years of relevant work experience
- Basic understanding of state government operations and the legislative process
- Demonstrated proficiency using basic office equipment and systems including telephones, photocopiers, email, and common office applications, such as Microsoft Office Suite and remote meeting platforms
- Temperament to communicate with a variety of personalities in a tactful, positive, and professional manner
- Excellent interpersonal skills with the ability to work cooperatively and professionally in a dynamic work environment
- Excellent oral and written communication skills
- Strong organizational skills and attention to detail
- Ability to exercise discretion in handling confidential information
- Ability to produce quality work under pressure and in a fast-paced environment
- Ability to maintain a flexible schedule including working extended hours, possibly on nights and weekends
