Partner Elyssia Bassett joins Brian Koch in leading a dynamic studio that collaborates closely with clients to manage every stage of the design and construction process. With projects spanning across the United States and a strong emphasis on the San Francisco Bay Area, TFLA remains committed to delivering high-quality and meaningful landscapes. We are seeking a dedicated Personal Assistant to support our leadership team, helping to coordinate schedules, manage communications, and facilitate daily operations. This role is essential for maintaining the smooth functioning of our studio, ensuring our principals can focus on creative and client-focused work while trusting that administrative and organizational needs are met efficiently and professionally.
Responsibilities
Manage and organize the schedules and appointments of company principals, ensuring optimal time management.
Coordinate internal and external communications including emails, phone calls, and meeting requests.
Arrange travel plans and logistics for domestic and international trips related to projects and client meetings.
Assist in the preparation and organization of presentations, reports, and project documentation.
Serve as a liaison between leadership and staff, facilitating smooth communication and workflow within the studio.
Handle confidential information with discretion and maintain the integrity of sensitive materials.
Support day-to-day office operations including calendar management, task tracking, and correspondence follow-up.
Coordinate events and meetings, including client visits, project reviews, and team gatherings.
Proven experience as a personal assistant or in an administrative role, preferably within the architecture or planning industry.
Exceptional organizational and time-management skills with keen attention to detail.
Strong written and verbal communication abilities.
Proficiency in office software such as Microsoft Office Suite, Google Workspace, and scheduling tools.
Ability to manage multiple priorities efficiently in a fast-paced, dynamic environment.
Discretion and professionalism in handling confidential information.
Strong interpersonal skills and the ability to work collaboratively with diverse teams and clients.
