Job Description
Summary: Stouffer Legal is a growing estate planning law firm that helps individuals and families gain peace of mind through tailored legal guidance. The Workshop Coordinator supports educational workshops by coordinating logistics, assisting participants, and ensuring the smooth operation of events.
Responsibilities:
- Conduct confirmation calls and outbound emails, including introductions, parking information, and other pre-event details attendees need
- Prepare for workshops by printing rosters, making table tents, assembling attendee materials, preparing folders and pens, packing equipment bags, loading supplies, and traveling to the venue
- Facilitate workshops on site by setting up A/V equipment, laying out materials, checking in attendees, supporting the presenter and staff, monitoring the room, filming the event when needed, and completing the quality checklist
- Schedule attendees for consultations, update attendee information in our registration system, and send event performance updates after each event
- Complete post-workshop tasks, including collecting and scanning evaluations, data entry, scheduling appointments, and preparing follow-up lists
- Handle workshop communications by phone and email, including workshop inquiries, RSVP line calls, registrations, confirmations, reschedules, cancellations, waitlist management, and follow-up tickets
- Serve as backup to the Workshop Manager for data processing and support accurate data flow across systems
- Submit workshop receipts from venues, organize and scan receipts, communicate notable feedback, and escalate budget, venue, supply, or attendee concerns when appropriate
Required Qualifications:
- Experience in event coordination, customer service, administrative support, marketing operations, or a similar client-facing role
- Strong phone and email communication skills, including the ability to answer questions, calm concerns, and guide prospective clients to the correct next step
- Excellent organization and attention to detail, especially when managing rosters, evaluations, receipts, waitlists, registrations, and data entry
- Comfort working an event-based schedule with evening hours and reimbursed travel to workshop venues in Towson, Gaithersburg, and Annapolis
- Ability to set up basic A/V equipment, troubleshoot minor event logistics, and remain composed when issues arise during live events
- Experience with or willingness to learn email, scheduling, phone, and CRM systems
- Reliable transportation and a valid driver license for venue travel
