Job Description
Summary: Sierra Central Credit Union is seeking a DMV Processor I responsible for the accurate and timely processing of DMV title and registration work associated with consumer loans. This role ensures compliance with all regulatory and internal requirements while maintaining high-quality member and dealer experience.
Responsibilities:
- Review incoming title and registration documentation for completeness, accuracy, and proper lien perfection within required timeframes
- Process DMV title and registration transactions, including fee calculations, lien recordings, transfers, and payoffs, in accordance with state regulations
- Verify loan files meet all internal controls, compliance, and regulatory requirements prior to audit submission
- Accurately track all DMV-related activity, including pending title work, unperfected liens, and outstanding documentation
- Monitor and manage unperfected titles, including files exceeding 45 days, ensuring timely resolution and appropriate escalation when needed
- Communicate professionally with internal teams, members, dealerships, DMV offices, and third-party vendors to resolve title, lien, and documentation issues
- Research and resolve discrepancies related to titles, fees, lien filings, or documentation, escalating issues as appropriate
- Process incoming title work packages from consumer lending and other loan origination channels
- Complete loan payoffs and related DMV transactions, including accurate system posting and reconciliation
- Maintain detailed logs and reports to track DMV activity, general ledger balancing, and title status
- Prepare loan and title files for audit, imaging, and retention in accordance with internal document management standards
- Maintain organized, complete, and audit-ready files at all times
- Respond to inquiries from staff, members, and dealership partners regarding DMV processing and title status
- Stay current on applicable DMV regulations, title and registration requirements, and internal procedures
- Support departmental risk management efforts and ensure compliance with all policies, procedures, and regulatory standards
- Meet established service level agreements and turnaround times for title processing, payoffs, and related transactions
- Demonstrate ownership and accountability for assigned files from loan funding through final title completion
- Adhere to internal audit standards, including defined quality expectations and acceptable error thresholds
- Participate in audits, reviews, and corrective action processes, demonstrating accountability and continuous improvement
- Proactively identify trends, delays, or recurring issues and communicate recommendations for process improvement
- Identify and escalate service gaps or process inefficiencies that may impact loan flow, compliance, or the member experience
- Perform additional duties as assigned to support department operations and business needs
Required Qualifications:
- High School Diploma or equivalent required
- Minimum of 1 year of experience in a clerical or administrative role
- Demonstrated ability to communicate effectively in both written and verbal formats, including professional and courteous phone etiquette
- Communicate clearly, accurately, and professionally to reduce processing delays and promote transparency throughout DMV workflows
- Collaborate effectively with lending, branch, dealer, and internal support teams to ensure timely processing and resolution of issues
- Exceptional attention to detail with the ability to maintain high accuracy in a fast-paced, high-volume environment
- Strong organizational, time management, and follow-up skills to manage multiple tasks and competing priorities efficiently
- Proven ability to identify discrepancies or issues, research applicable regulations or requirements, and implement appropriate solutions
- Self-motivated and accountable, with the ability to work independently while consistently meeting deadlines and performance standards
- Maintain consistently high accuracy standards while minimizing errors, rework, and processing exceptions
- Commitment to supporting a positive member and dealer experience through timely, accurate, and compliant DMV documentation processing
Preferred Qualifications:
- Financial institution experience preferred
- Basic knowledge of DMV regulations, title processing, and collateral documentation preferred
- Working knowledge of Microsoft Office products and standard office equipment
