Position Summary
The Workplace Accommodation Specialist serves as subject matter expert in disability-related workplace accommodations and leads the full interactive process under the ADA, ADAAA, PWFA, applicable state and federal leave laws, and religious or other accommodation frameworks. This role manages a complex caseload from intake to resolution, ensuring timely, equitable, and compliant administration of accommodations.
This role leads the interactive process from intake through resolution, ensuring timely, fair, and compliant administration of accommodations. The Specialist partners closely with employees, HR Partners, managers, Occupational Health, Safety, and Legal to support employee success while minimizing organizational risk.
This position requires strong judgment, empathetic communication, and rigorous documentation aligned with EEOC.
Essential Functions
Accommodation Case Management & Assessment
Manage a full caseload of accommodation requests from intake through closure. Assess essential job functions, gather and evaluate medical documentation, and determine effective, reasonable accommodations that balance employee needs with operational and safety requirements
Interactive Process Leadership
Facilitate timely, continuous interactive dialogue with employees and leaders. Lead meetings, guide discussions, and ensure decisions are grounded in job-function analysis, legal standards, and organizational risk considerations.
Legal Compliance & Risk Mitigation
Ensure all accommodation practices comply with ADA/ADAAA, PWFA, state PFML laws, and related regulations. Apply sound judgment in identifying complex or sensitive cases, escalating appropriately, and maintaining confidential, compliant documentation.
Cross‑Functional Collaboration
Partner with HR, Legal, Safety, Employee Health, Workers’ Compensation, Labor Relations, IT, and Facilities to evaluate feasibility and implement accommodations. Coordinate effectively to ensure accommodations are practical, timely, and sustainable.
Leader & HR Consultation
Provide expert guidance and coaching to leaders and HR partners on legal obligations, best practices, and effective accommodation strategies. Support consistent, equitable decision‑making across the organization.
Documentation & Record Management
Maintain accurate, complete, and standardized documentation across all cases. Ensure records demonstrate compliance, support defensibility, and align with retention and confidentiality requirements.
Training, Data Insights & Process Improvement
Support development and delivery of training on ADA and accommodation practices. Analyze case trends, conduct audits, and recommend improvements to processes, templates, workflows, and communication standards to enhance efficiency and compliance.
Requirements
Bachelor’s degree in HR, Business, Social Services, or related field—or equivalent experience
2+ years managing ADA/accommodation or related HR casework
Working knowledge of ADA/ADAAA, PWFA, and EEOC guidance, and relevant state laws (WA & OR)
Strong interpersonal skills and the ability to navigate sensitive, confidential matters
Experience in healthcare, unionized work environments, or large complex organizations preferred
Experience using leave/accommodation case management platforms (e.g., HR Acuity) preferred
Relevant certifications such as SHRM‑CP, PHR, CLMS, CPDM or related preferred

Pay and Benefit Expectations
We provide a comprehensive benefits package, including competitive salary, medical, dental and retirement benefits and paid time off. As required by various pay transparency laws, we share a competitive range of compensation for candidates hired into each position. The pay scale is $88,691.20 - $127,649.60 USD. However, pay is influenced by factors specific to applicants, including but not limited to: skill set, level of experience, and certification(s) and/or education. If this position is associated with a union contract, pay will be reflective of the appropriate step on the pay scale to which the applicant’s years of experience align.
