Job Description
TechSilo is looking for a Senior Admin Support / Project Information Specialist to provide high-level administrative management, project information, facilities coordination, and audiovisual support for conference rooms, training rooms, and the Business Center. If you're passionate about administrative operations, information management, and technical support for executive and program environments, this could be the perfect role for you. This is a proposal-based opportunity, and we are making contingent offers now for inclusion in a proposal due June 5; employment in this role is contingent upon contract award.
In this position, you'll support day-to-day organizational effectiveness by managing room scheduling, event readiness, records and information processes, and audiovisual operations for agency facilities. You'll play a key role in ensuring business spaces are fully functional, professional, and ready to support meetings, trainings, and events throughout the year.
On a given day, you will spend time:
- Managing reservations, scheduling, and coordination for the Business Center, conference rooms, and training rooms, maintaining calendars and ensuring spaces are properly prepared for internal and external events.
- Setting up rooms, furniture, refreshments, audiovisual equipment, and teleconferencing systems for approximately 50–60 annual events, including monitoring kitchens and shared event spaces for professional readiness.
- Troubleshooting audiovisual and connectivity issues, coordinating with the CIO, Deputy CIO, and AV subcontractors for repairs, upgrades, and system-related support.
- Performing records and information management functions, including document handling, filing systems, and physical records coordination to support organizational compliance and efficiency.
- Creating, editing, and updating presentations, documents, and basic video content using Microsoft Office, Adobe, and video editing tools to support meetings, trainings, and agency events.
- Evaluating administrative and operational processes, recommending improvements, and providing staff training and technical assistance to enhance service quality and program effectiveness.
- Supporting administrative functions including policy development, procedure implementation, and workflow optimization to strengthen organizational operations.
Qualifications
**Required Qualifications:**
- Ability to obtain and maintain a government security clearance or meet agency suitability requirements (if applicable based on contract/customer needs)
- Bachelor's degree in Business Administration, Information Management, Records Management, Communications, or related field; relevant professional certifications or equivalent experience may be considered
- At least 10 years of professional experience in administrative management, executive/project support, information management, or related field
- Demonstrated experience developing, implementing, and improving organizational policies, procedures, and administrative workflows
- Experience supporting records and information management programs, including document handling, filing systems, and retention practices
- Strong customer service skills with the ability to support executives, staff, vendors, and visitors professionally
- Hands-on experience setting up and supporting conference rooms, training spaces, and audiovisual systems in a fast-paced professional environment
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams), Adobe Acrobat, and basic video editing tools (Adobe Premiere Pro, Camtasia, or similar)
- Experience with scheduling platforms and databases such as Microsoft Outlook Calendars, SharePoint, room reservation systems, and records management systems
- Ability to troubleshoot audiovisual and connectivity issues and coordinate with IT leadership and third-party vendors
- Strong organizational skills with the ability to manage multiple priorities, schedules, and event logistics simultaneously
- Excellent written and verbal communication skills with strong attention to detail
- Ability to work independently with minimal supervision and evaluate operational effectiveness
**Preferred Qualifications:**
- Prior experience supporting a federal agency, government contractor, or regulated environment
- Familiarity with records retention schedules, office administrative controls, and document compliance practices
- Relevant certifications in records management, administrative management, information management, or audiovisual systems support
**Physical Requirements:**
- Must be able to lift, move, and transport files, file boxes, room materials, and event supplies
- Must be comfortable with frequent movement between office spaces, conference rooms, training rooms, kitchens, and event areas
- Ability to physically set up furniture, equipment, and meeting materials for scheduled events
