Job Description
TechSilo is looking for an Admin Support / Information Specialist to provide high-quality administrative, information resource, and office support for USTDA's Information Resource Center and Office of Administration. This is a proposal-based opportunity, and we are making contingent offers now for inclusion in a proposal due June 5; employment in this role is contingent upon contract award.
In this position, you'll support day-to-day administrative operations, information and records management, and process improvement efforts. You'll ensure critical information flows efficiently, records are maintained accurately, and staff receive timely support for travel, meetings, reporting, and office operations.
Key Responsibilities:
- Provide administrative and information specialist support for the Information Resource Center and Office of Administration
- Manage records, files, and documents in accordance with office procedures and records management practices; maintain data in computerized systems and databases
- Generate reports, track subscriptions, and update administrative processes and information dissemination
- Set up conference rooms and provide on-site audiovisual and technical support for meetings, presentations, and staff events; troubleshoot connectivity and equipment issues
- Provide training and technical assistance to staff on systems, office processes, and information resource tools
- Evaluate administrative and program support processes and recommend improvements for efficiency and effectiveness
- Support broader office management needs, including facilities, security, human resources, and general administrative operations
Qualifications
- Active Secret Security Clearance
- Bachelor's degree in Business Administration, Information Management, Records Management, or related field; equivalent relevant experience considered
- At least 5 years of professional experience in administrative management, office operations, information management, or related field
- Demonstrated experience supporting federal administrative environments, including knowledge of federal travel regulations and procedures
- Experience with records and information management, including file maintenance, document control, and information dissemination
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and database/tracking systems
- Hands-on experience with conference room technology, including projectors, video conferencing platforms, audio systems, and troubleshooting connectivity issues
- Strong written and verbal communication skills with ability to interact professionally with staff and leadership
- Excellent customer service orientation and ability to provide responsive support in a fast-paced environment
- Strong attention to detail, organizational skills, and ability to manage multiple priorities independently
- Physical ability to move, lift, and organize files and records as needed
**Preferred Qualifications:**
- Relevant certifications in records management, administrative support, or information management
- Experience supporting federal agencies or government contractors
