Job Description
Come join our Mahoney Environmental team as a Fleet Administrator in Joliet, IL. The Fleet Administrator works with various vendors and systems to ensure accurate reporting and compliance with all regulations. The Fleet Administrator is responsible for maintaining accurate records of vehicles, assisting with asset disposal and transfer process and managing documentation and records as needed.
Starting hourly rate: $23-$25 an hour
PRIMARY DUTIES:
• Prepare and submit accurate quarterly IFTA fuel tax reports for multiple jurisdictions.
• Maintain detailed records of fuel purchases, mileage, and other relevant data required for IFTA reporting.
• Assist in providing documentation and information during IFTA audits and reviews.
• Monitor fuel tax regulations, ensure adherence to regulatory requirements and company policies.
• Act as a liaison between drivers, management, and fuel vendors to obtain necessary data for reporting purposes.
• Address any issues related to IFTA compliance, invoicing and coding promptly to contribute to the development of more efficient workflows.
• Analyze fuel consumption, mileage data, billing activities, coding trends and invoice processing status to identify trends and potential areas for improvement.
• Review and process invoices related to fleet services, ensuring accuracy and completeness.
• Maintain detailed records of invoices, bills, and coding information, both electronically and physically.
• Coordinate with internal departments and external vendors to clarify billing details, resolve disputes, and ensure timely payments.
• Stay current on all safety trainings and follow all safety rules and procedures
• Performs other related duties as assigned.
Requirements:
• High school Diploma or GED equivalent required.
• Valid IL drivers license with clean driving record.
• At least two years of related experience with IFTA compliance, invoicing, billing or reporting requirements preferably in a fleet management or other administrative role.
• Excellent communication skills and ability to work effectively in a team environment.
• Excellent time management and organizational skills with attention to detail.
• Proficient with Microsoft Office Suite or related software.
• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at time.
• Exposure to strong used cooking oil odors.
