Job Description
Summary: Legacy Family Chiropractic & Wellness is dedicated to helping families build a foundation for lifelong health through neurological-based chiropractic care. The Practice Operations Coordinator will manage the operational and financial aspects of the practice, ensuring smooth communication with the billing company and supporting patient scheduling and front desk operations as needed.
Responsibilities:
- Verify patient insurance coverage and eligibility prior to appointments
- Serve as the primary liaison with our outsourced billing company ensuring claims are submitted, tracked, and resolved
- Audit patient accounts and ledgers for accuracy
- Reconcile incoming payments and flag discrepancies promptly
- Handle billing questions and financial objections with professionalism and empathy
- Monitor missed and rescheduled appointments and proactively follow up to keep the schedule full
- Ensure patients are progressing through their care plans and flag gaps in attendance
- Communicate schedule changes between patients and the clinical team
- Track and report weekly/monthly key performance indicators including patient visit volume, show-up rate, office visit average (OVA), and commitment vs. non-commitment rates
- Identify trends in collections and patient retention and bring forward insights proactively
- Prepare regular statistical reports for the doctor to support informed decision-making
- Step in to manage front desk operations when our front desk team member is on leave or supporting marketing activities
- Welcome and check in patients with warmth, ensuring a smooth and positive experience from the moment they arrive
- Manage the patient flow throughout the office, keeping appointments on schedule and communicating any delays
- Answer phones, respond to patient inquiries, and assist with scheduling as needed
- Support a seamless handoff between the front desk and clinical team at all times
Required Qualifications:
- Experience in a medical, chiropractic, or healthcare office setting
- Familiarity with insurance verification and the medical billing process
- Strong analytical mindset, you're comfortable with spreadsheets, numbers, and spotting patterns
- Excellent communication skills with the ability to handle billing conversations warmly and confidently
- Highly organized, self directed, and able to manage multiple priorities with minimal supervision
- Comfortable stepping into a patient facing role, friendly, calm, and professional at the front desk when needed
