ROLE
We are seeking an experienced Paralegal Assistant to support the United States Attorney’s Office, Western District of Kentucky (USAO WDKY) in Louisville, KY. Your scope of work will include supporting fact witness operations, legal office administration, case-related records, appearance logistics, and compliance with Department of Justice (DOJ) and USAO procedures.

RESPONSIBILITIES
- Provide witness management assistance before, during, and after trial
- Work directly with fact witnesses regarding court, pre-trial conference, and grand jury appearances
- Receive visitors and respond to phone calls, questions, and inquiries from fact witnesses
- Obtain information and documents needed to arrange witness travel and reimbursements
- Notify fact witnesses of travel arrangements, appearance dates, times, and related instructions
- Identify special circumstances or needs that may require Assistant United States Attorney review
- Confer with Assistant United States Attorneys regarding witness appearances and special authorizations
- Complete and submit documentation for special authorizations before arranging travel
- Confirm witnesses receive travel documents, appearance dates, and appearance times
- Arrange fact witness travel and lodging according to DOJ and USAO policies and procedures
- Meet fact witnesses upon arrival for hearings, pre-trial conferences, and related appearances
- Provide courtroom orientation and accompany witnesses to court when needed
- Ensure witnesses have access to a safe waiting area
- Collect documentation and signatures needed for fact witness reimbursement
- Prepare and submit witness vouchers and other reimbursement documentation
- Provide status updates on pending and completed fact witness vouchers
- Gather supporting documentation and assist with Government Travel Account reconciliation
- Coordinate with the Court, Probation, Pretrial, U.S. Marshals Service, and investigative agencies
- Complete recurring documents according to required style, format, and procedural rules
- Draft letters that require knowledge of legal procedures and fact witness terminology
- Establish and maintain fact witness files, documents, calendars, and databases
- Assemble fact witness file materials according to DOJ regulations and office procedures
- Track hearings, trial dates, grand jury appearances, and scheduling conferences
- Perform administrative and logistical duties related to fact witness management
KNOWLEDGE & SKILLS
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint required
- Strong oral and written communication skills required
- Strong organization skills and attention to detail required
- Knowledge of legal procedures and terminology related to fact witness support preferred
- Knowledge of witness management procedures and protocols preferred
- Experience using legal office databases or USAO systems preferred
BACKGROUND
- One year of legal experience required
- Experience working with witnesses preferred
- Experience supporting a legal office, court, law enforcement agency, or government office preferred
- Experience with file management, database maintenance, scheduling, and document preparation preferred
- Experience coordinating travel, reimbursements, vouchers, or administrative records preferred
EDUCATION
- High school diploma required
- Undergraduate degree preferred
