Job Description
Summary: Imaginary Forces is a leading creative studio that shapes the visual language of entertainment and culture. They are seeking a highly organized Coordinator (Resourcing & Operations) to support staffing, scheduling, and freelancer management across their fast-paced creative studio, ensuring projects run smoothly and effectively.
Responsibilities:
- Manage day-to-day staffing and scheduling across projects in CETA
- Maintain a clear view of team allocation, availability, and upcoming needs
- Build and send daily callsheets to align teams on priorities
- Coordinate freelancer sourcing, outreach, onboarding, and bookings
- Track staff and freelancer availability, PTO, and resourcing gaps
- Ensure alignment across CETA, Google Calendar, and team communications
- Support producers and teams with coordination needs across projects
- Support studio operations, internal workflows, and occasional events or client needs
- Respond quickly to incoming requests and help unblock teams in real time
- Support payroll prep for W2 freelancers
- Identify resourcing gaps, overlaps, and pressure points early and flag them proactively
- Support ad hoc production needs, including studio operations, internal initiatives, and events as required
Required Qualifications:
- Highly organized, detail-oriented, and reliable
- Clear, responsive communicator who keeps people aligned
- Comfortable juggling multiple priorities in a fast-paced environment
- Takes initiative and follows through
- Brings energy, presence, and a strong sense of ownership
- Interested in how creative work gets made, not just tracking it on paper
- Looking to grow within a creative studio environment
- 1–3 years experience in coordination, production, or scheduling roles
- Creative studio, agency, or production environment is a plus
Preferred Qualifications:
- An interest in entertainment, storytelling, and design is a big plus
