The Role
The Transactions Specialists provides administrative and operational coordination support for the Transactions team and its leadership. This role is responsible for ensuring the smooth execution of administrative processes, team coordination activities, and operational tasks that support a fast-moving hybrid team environment.
The Specialist will interact regularly with internal executives, external stakeholders, and executive assistants across the organization. In addition to managing day-to-day administrative responsibilities, the role will help coordinate team initiatives, support meetings and events, prepare reports and presentations, and maintain tracking for various transaction-related activities.
The specific responsibilities include:
· Working hybrid in Chicago office 4-days per week / 1 day remote
· Provides day-to-day administrative support to transaction leaders including calendar coordination, travel arrangements (domestic and international), expense management, and general administrative tasks
· Serve as a point of contact between transaction leaders, executives at the company, external partners, and executive assistants to coordinate scheduling, meetings and information flow.
· Coordinate transaction team meetings and support internal and external meetings related to Growth and Transactions departments, including scheduling, logistics, materials preparation, and follow-up actions
· Prepare and format reports, presentations, and other materials to support the Transactions team. This includes building and maintaining PowerPoint presentations, consolidating information from multiple stakeholders, and ensuring professional formatting and clarity.
· Maintain tracking tools and documentation related to transaction activities, ensuring information is accurate, organized, and readily accessible for the team.
· Identify opportunities to improve administrative workflows, meeting coordination, and team processes to support productivity and efficiency.
· Support the creation of an efficient working environment for a hybrid team through coordination of team communications, shared resources, documentation, and operational logistics.
Experience Required:
- Bachelor’s degree required
- 3-5 years of experience in an administrative, executive support, or team coordination role.
- Experience supporting senior leaders or executives in a fast-paced environment
- Experience coordinating meetings, travel, and operational activities across multiple stakeholders
- Strong organizational and time management skills
- Ability to manage multiple priorities and deadlines
- High attention to detail
- Ability to anticipate needs and proactively address issues
- Demonstrated ability to use sound judgment and discretion
- Excellent skills in Outlook, Word, Excel, PowerPoint, and SharePoint

The salary range for this position is $68,800 - $100,000. The final pay rate/salary offered to the successful candidate will depend on experience, skill level and other qualifications for the role, as well as the location of the performance of work. Pay for the successful candidate will meet local requirements, including the local minimum wage rate.
