Job Description
Summary: Gulf Coast Social Services (GCSS) is a dedicated non-profit organization committed to providing comprehensive human services programs. We are seeking a highly organized and proactive Administrative Assistant to provide essential administrative support, ensuring smooth office functions and enhancing overall efficiency.
Responsibilities:
- Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace applications
- Manage calendar scheduling, appointments, and coordinate meetings for staff members efficiently
- Handle correspondence, proofread documents for accuracy, and ensure timely distribution of information
- Support bookkeeping tasks including basic bookkeeping, invoicing, and expense tracking using Quicken or similar software
- Provide excellent customer service by assisting clients and community members with inquiries both in person and via phone or email
- Maintain office supplies inventory, organize files systematically, and ensure the overall cleanliness and organization of the office environment
- Tracking required program documentation
- Proofread documents for accuracy and clarity while maintaining high standards of professionalism in all communications
Required Qualifications:
- Proven experience in office management or administrative support roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, Teams, and data entry tools
- Excellent phone etiquette skills with experience managing multi-line phone systems
- Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively
- Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times
Preferred Qualifications:
- Experience with Quicken or similar bookkeeping software is preferred
- Bilingual abilities are highly desirable to serve diverse community needs effectively
- Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental reception is a plus
