Job Description
EXECUTIVE COORDINATOR
Location: Regina, SK, Canada
The Opportunity:
The Policing and Community Safety Services division helps keep communities safe by delivering and supporting effective law enforcement and private security services. The division fosters strong relationships with police services, First Nations and Indigenous Policing partners, and community, federal and government stakeholders. It also oversees the provincial policing contract with the RCMP and administers the Municipal Police Grants program to support municipal police services across Saskatchewan.
Our candidate of choice will be a self-starter, who is attentive to detail and capable of meeting new challenges while supporting an inclusive team environment. The successful candidate will:
• Manage the ADM’s calendar through collaboration, prioritization, and scheduling.
• Prepare briefing and background materials to support the ADM in advance of meetings.
• Monitor the ADM's email inbox and redirect requests to appropriate team members.
• Plan, schedule, and coordinate travel and logistics for meetings, training sessions, and other events.
• Monitor administrative processes and implement improvements within the branch to enhance efficiency.
• Draft, record, proofread, and edit correspondence in accordance with Government of Saskatchewan (GOS) visual identity standards.
• Coordinate and participate in management meetings by preparing agendas, recording minutes, and tracking action items to ensure timelines are met.
• Manage incoming and outgoing correspondence to ensure timely distribution.
• Maintain manual and electronic filing systems, including bring‑forward and records‑management processes.
• Verify, code, process, and track invoices for approval and payment, ensuring compliance with policies.
• Compile expense data and prepare budget reports for review.
• Order office supplies and coordinate equipment repairs and furniture replacements.
Typically, the knowledge and experience would be obtained through a combination of formal education such as an Office Education Certificate, Business Administration, Business Certificate/Diploma or equivalent, supplemented with significant work experience supporting senior executive leaders
