Job Purpose
This role directly supports the firm's strategic objectives and AI Fusion & Empowerment strategy by ensuring seamless coordination and execution of innovation initiatives.
Project Coordinator plays a crucial role in supporting the delivery of innovative projects across the organization, with a particular focus on AI implementation, technology enablement, and legal innovation initiatives.
Project Coordinator works at the forefront of legal innovation, coordinating projects that transform how legal services are delivered and ensuring effective communication and administrative support throughout the project lifecycle.
The Project Coordinator is reporting to Head of Project Management based in Berlin.
Responsibilities
The Project Management function leads strategic project governance and delivery across the Innovation & Intelligence portfolio, ensuring alignment with the firm's strategic objectives and AI Fusion & Empowerment strategies. The function drives cross-functional collaboration between legal teams, risk, technology stakeholders, and other business units across Europe to implement solutions that enhance client service and operational efficiency. The team manages strategic partnerships and vendor relationships across the innovation ecosystem—from user onboarding and solution evaluation through contract negotiation and performance monitoring—while establishing and maintaining PMO frameworks and best practices for innovation and AI deployment.
Innovation & AI Project Support
- Assist with the coordination of AI implementation projects and technology enablement initiatives, from scoping, planning, executing, solution onboarding, ROI evaluation and closing projects, according to established timelines, governance frameworks, and budgets.
- Coordinate project activities, resources, and information across multiple stakeholders including legal teams, technology partners, and business units across Europe.
- Schedule and organize project meetings, maintain comprehensive project documentation, and track project milestones and deliverables to ensure timely completion.
Communication & Stakeholder Management
- Serve as a primary point of contact for project-related inquiries across the Innovation & Intelligence portfolio.
- Facilitate effective communication, prepare and distribute regular project status updates and reports between project teams and relevant project stakeholders.
- Support the management of strategic partnerships and vendor relationships throughout the project lifecycle.
Administrative & Documentation
- Maintain comprehensive project files, records, and documentation in accordance with PMO standards.
- Prepare presentations, reports, and other project-related materials for internal and external stakeholders.
- Support the documentation of innovation processes, AI deployment procedures, and technology implementation guidelines.
Process Improvement & PMO Framework Support
- Support the implementation and adherence to PMO methodologies, standards, and best practices for innovation and AI deployment.
- Assist in the development and refinement of project management processes, templates, and frameworks specific to legal innovation.
- Monitor project compliance with organizational policies, procedures, and governance requirements.
Resource & Budget Tracking
- Assist in tracking project budgets, expenses, and resource allocation across the innovation portfolio.
- Coordinate procurement activities and support vendor management as required.
- Support contract negotiation processes and performance monitoring activities.
Education and Experience
- Bachelor's degree in business administration, project management, technology management, or related field
- 2-3 years of experience in project coordination, project support, or related role
- Experience working in a Project Management Office environment is highly desirable
- Experience in legal services, professional services, or technology implementation environments is advantageous
Technical Skills
- Strong organizational and multitasking abilities with excellent attention to detail
- Advanced proficiency in Microsoft Office Suite
- Excellent written and verbal communication skills in English with the ability to communicate effectively across cultures and geographies; additional European language is a plus
- Strong interpersonal skills with the ability to build relationships across all organizational levels and with external partners
- Doer with problem-solving mindset and the ability to work independently as well as part of a multidisciplinary team
- Understanding of project management methodologies (Agile, Waterfall, or hybrid approaches)
- Experience with innovation projects, AI implementation, or technology transformation initiatives
- Knowledge of change management principles and practices
- Understanding of legal industry trends, challenges, and innovation opportunities
- Experience working in international or multi-jurisdictional environments
