Job Description
Summary: American Financing is a national mortgage lender focused on helping customers achieve their financial goals. They are seeking an administrative assistant to support their Customer Service Department, responsible for performing various administrative tasks and providing support to the management team.
Responsibilities:
- Assist with emails on a daily basis; staying on top of the responses. Review for updates/changes
- Name Changes email for Customer service team- ensuring these are done in a timely manner. Also, updating a file in LOS to the name change request verifying it is a true name change
- FHA case transfers and appraisals emails- sending in the request through email with information provided; additionally sending invoice and links for payment of appraisals. Transferring case number via FHA connection
- Daily Source and Endorser emails- updating files in byte to the correct source and endorser. Pull Vonage report for calls not created in LOS; adding the correct people onto the email to further assist
- Email requests to delete duplicate files, change status on files- deleting them out of our systems and responding to the email that it was completed
- Assign appointment to a licensed consultant at least 2 hours prior to the appointment
- Must be able to work an 8a -5pm/9a-6p schedule; Hybrid schedule available after training period is completed
Required Qualifications:
- Highly adaptable to change
- Must be able to work on multiple computer platforms simultaneously (Byte, Google, Vonage etc)
- “Can do” mentality; willingness and capacity to take on additional projects, based on the company's needs
- High school diploma or equivalent
- Proven administrative experience
- Strong written and verbal communication skills
- Strong time-management skills and multitasking ability
- Aptitude for learning new software and systems
- Familiarity with CRM systems and practices
Preferred Qualifications:
- Bilingual in English/Spanish a plus
