Job Description
Summary: AJ Dagny Company specializes in providing commercial real estate management services. The Property Administrator will support the day-to-day operations of a commercial property portfolio through tenant communication, vendor coordination, property inspections, and administrative support.
Responsibilities:
- Perform routine property inspections and document follow-up items
- Assist Property Managers with day-to-day operations of assigned commercial properties
- Coordinate tenant move-ins and move-outs
- Assist with property-related projects, maintenance items, and operational tasks as directed by Property Managers
- Travel to property sites as needed
- Respond to tenant emails and route or resolve requests as appropriate
- Dispatch vendors as directed by the Property Manager
- Follow up with vendors regarding scheduling, service completion, and documentation
- Maintain professional, clear, and timely communication with tenants, vendors, ownership representatives, and internal team members
- Assist with solicitation of service proposals for recurring contracts and as-needed property work
- Assist with creation and administration of vendor contracts
- Prepare or help organize requests for proposals
- Track vendor contract status, service agreements, and related documentation
- Assist Property Managers with rent collection follow-up
- Complete electronic invoice coding
- Track tenant billback items
- Assist with invoice review and understanding property-related charges
- Assist the Senior Property Accountant with documentation for the annual 1099 process
- Track certificates of insurance for tenants and vendors
- Maintain organized electronic records for property files, contracts, proposals, COIs, tenant correspondence, and vendor documentation
- Assist with preparation of professional letters, notices, and tenant communications
- Help ensure property documentation is complete, current, and accessible to the team
- Provide general support to Property Managers, Senior Property Accountant, and leadership as needed
- Assist with special projects, process improvements, tenant communications, and property initiatives
- Help identify opportunities to improve organization, follow-up, communication, and service delivery across the portfolio
Required Qualifications:
- Entry-level position; 1–2 years of property management, real estate, administrative, customer service, facilities, or accounting-related experience preferred
- Customer service focused attitude
- Ability to problem solve and self-start on tasks
- Ability to communicate effectively and understandably to others
- Ability to produce well-written and professional emails
- Ability to produce professional letters
- Ability to read and understand invoices
- Ability to create a request for proposal for recurring contracts and as needed property work
- Comfortable using Google Workspace and cloud-based systems
- Valid Driver's License
- Access to reliable transportation
